Job Description

The position of Membership Assistant is a part-time, entry-level position of 20 hours per week. This is a temporary position of approximately 6 months with the possibility of becoming a permanent position. The working location is onsite in La Jolla, California. Salary: $21 per hour, non-exempt.

The Membership Assistant supports all aspects of the Athenaeum’s membership program, including performing the daily processing of memberships, database management, renewals, and member services. This position reports to the Membership Manager.

Responsibilities include:

  • Process and reconcile all necessary membership benefit information including the generation of printed membership cards, letters, envelopes, and assembling membership packets for traditional mail.

  • Data entry: Efficiently and accurately maintain membership database and printed records, including creating new entries and updating information to ensure constituent and event records are complete.

  • Ensure membership materials are updated, printed, and mailed in a timely fashion; assist with drafting thank you and renewal letters.

  • Generate and update donor and mailing lists for various projects and outgoing materials, including e-blasts, invitations, newsletters, and brochures.

  • Participate in efforts to increase efficiency and improvements in the capacity and utility of membership database.

  • Assist with membership initiatives and campaigns, as needed.

  • Act as a contact for questions concerning membership, providing timely and efficient customer service via telephone, email, and in person.

  • Support Athenaeum staff with phone registrations for member programs and events.

  • Participate in overall Athenaeum activities, as needed.

  • Other administrative duties as assigned.


Required skills:

  • B.A., preferably in liberal arts, business, or related field

  • Experience in non-profit administration preferable

  • Experience in Raiser’s Edge or similar database preferred

  • Expertise with Microsoft Office (Word, Excel, Outlook, and Powerpoint)

  • Strong written and verbal communication skills

  • Results-oriented with excellent organizational and planning skills

  • Ability to work well in a fast-paced environment, prioritize workload, and meet deadlines

  • High degree of dependability and discretion
